Registration Fee

Anyone who is not a member of IEICE, IEEE ComSoc, KICS, or CIC is classed as a non-member.
The registration fee to the society and annual membership fee are not included in the fee for participation to the meeting.
Membership offers you a lower overall cost. We encourage you to take this opportunity to consider registering for IEICE communication society membership.

• The regular and student registration except "ICETC 2025: Regular - Discount w/ APCC" includes: Presentation and publication of one paper submission, Proceedings of IEICE ICETC 2025, Keynotes, Technical sessions of IEICE ICETC 2025 and APCC 2025, Novelty items of IEICE ICETC 2025, Coffee breaks, Lunch, Welcome reception, Banquet ticket of IEICE ICETC 2025, but excludes: Proceedings, Novelty items , and Banquet ticket of APCC 2025.
• Attendees who have already registered for IEICE ICETC 2025 and are members of IEICE, IEEE ComSoc, KICS, or CIC can also register for APCC 2025 at a discounted rate by selecting "APCC 2025: Regular - Discount w/ ICETC" in the APCC 2025 registration page.
  The registration "APCC 2025: Regular - Discount w/ ICETC" includes the following items not included in the regular and student registration of IEICE ICETC 2025: Proceedings, Novelty items, and Banquet ticket of APCC 2025.
  The discounted registration code for APCC 2025 will be sent by email to attendees who have already completed the IEICE ICETC registration and payment.
  Please note that authors of accepted papers in APCC 2025 are NOT eligible for the discounted APCC 2025 registration. This discounted registration is NOT listed in the EDAS page for IEICE ICETC registration. For details, please see the APCC 2025 registration page.

  The following steps are required for the discounted IEICE ICETC 2025 registration:
1. Please go to the EDAS page for IEICE ICETC 2025 registration.
2. Please add a registration code by clicking the “registration codes” link in the explanation of the blue exclamation mark.
3. Please enter the registration code provided by APCC 2025.
4. You can find the discounted registration code “ICETC 2025: Regular - Discount w/ APCC” in the table.

• All listed fees include a 10% consumption tax.
• Cancellation Policy: In principle, refunds cannot be issued. If you need to request a refund due to unavoidable circumstances, please reach out to the contact email below no later than November 29.

Registration

Important information for registration

• All presenters are required to register by Oct. 31, 23:59 JST.
• At least one person is required to pay the registration fee (member, student member, and non-member) for each accepted paper.
• All presenters who make more than one presentation are required to pay the registration fee for each presentation and register for the same number of presentations.
• Payment can be made through the EDAS system. Details such as receipt issuance will be decided on September 26.

Visa Letter Request

If you require a Visa Letter of Invitation from IEICE ICETC 2025, please complete the Visa Letter Request. Please note that visa letters are available from EDAS only after registration and payment are complete.

1. It is the conference policy to only issue Visa Letter of Invitation to Speakers, Authors, Committee Members, and Attendees.
2. We can only issue the Visa Recommendation Letter for the conference. No other kind of documentation will be provided for use of visa applications.
3. If you complete registration and payment and you are authors of accepted papers, then you can download your visa letter from EDAS under your paper page by clicking the visa-letter icon.
4. In other cases, request by email to icetc-2025-reg@mail.ieice.org.

Disclaimer

We strongly advise participants to personally check entry and visa requirements before making travel arrangements, as there might be country-specific conditions that you are not aware of. For most accurate information please contact the embassy/consulate of the country where the conference will be held, in your home country.

1. IEICE ICETC 2025 will NOT issue any Letter of Sponsorship or Letter of Guarantee if you are required to do so by the immigration department. It is the participants’ sole responsibility to obtain such documents.
2. IEICE ICETC 2025 will not refund anyone for cancellations due to visa rejections or participant’s inability to enter the country.
3. IEICE ICETC 2025 cannot change the decision of the any country’s embassy/consulate or any other government departments, nor will IEICE ICETC 2025 appeal to the embassy/consulate on behalf of the applicant.
4. All questions/concerns regarding the status of your visa should be directed to the embassy/consulate of the country where the conference will be held, in your home country.
5. In no event will IEICE ICETC 2025 be liable for any loss or damage including without limitation, indirect or consequential loss or damage, or any loss or damage whatsoever arising from loss of data or profits arising out of, or in connection with, the information provided on this page.
