Instructions for Poster Presenter

• Please prepare your poster in A0 size in portrait orientation.

• At the venue, boards will be provided
   – Please use the tape provided on-site to attach your poster during the break before the session begins.

Instructions for Oral Presenter

• Presentation time length: 20 minutes.

• Q&A time length: 5 minutes.

• Use your own laptop PC for presentation.

Instructions for Final Manuscript Submission (Camera-Ready Papers)

■Overview

Authors of accepted papers are requested to submit their final camera-ready manuscript according to the following instructions. Please note that the requirements differ depending on the presentation type:

Oral Presentation:
– Up to 4 pages (A4 size)
– Use IEEE format
– Must be verified through IEEE PDF eXpress®
– Will be included in IEEE Xplore®

Poster Presentation:
1 page (A4 size)
– Use ICETC template (Word format or LaTeX format)
– Do not use IEEE PDF eXpress®
– Not included in IEEE Xplore®
– Please delete "Summary" and "Keywords" sections from the manuscript

■Manuscript Preparation

Please prepare your manuscript according to the following procedure.

(1) For Oral Presentations

Use the IEEE format (A4, two-column).

Formatting requirements:
• Paper size: A4
• Layout: Two-column IEEE format
• File format: PDF (IEEE Xplore® compliant)
• Fonts must be embedded
• Do not include page numbers, headers, or footers
Remove the following placeholder line from the IEEE Word template:
"XXX-X-XXXX-XXXX-X/XX/XX.00 ©️20XX IEEE" (appears at the bottom-left corner of conference-template-a4.docx)

(2) For Poster Presentations

Use the ICETC Poster Template (Word format or LaTeX format).

• Paper size: A4
• Length: 1 page
• Remove "Summary" and "Keywords" sections
• Save as PDF file
• IEEE PDF validation is not required

■IEEE PDF eXpress® Verification (For Oral Presentations Only)

All oral presentation papers must be verified through IEEE PDF eXpress®.

Steps:
1. Access the IEEE PDF eXpress site.
2. Create an account (first-time users) or log in (returning users).
   Enter the following:
   – Conference ID: 67395X
   – Your email address
   – A password of your choice
3. Upload your source file (Word or LaTeX-generated PDF).
4. Download the returned IEEE Xplore-compatible PDF after validation.
5. Do not modify the validated PDF afterward (no headers, watermarks, or numbering), as this invalidates IEEE Xplore® compliance.

■Submitting the Final Manuscript

After your manuscript has been prepared and, if required, verified through IEEE PDF eXpress®, please upload your final PDF file at your paper page of the EDAS.

■Important IEEE Policy

Only papers that are:
1. Presented at the conference, and
2. Verified as IEEE Xplore® compliant via PDF eXpress®,

will be submitted for publication in IEEE Xplore®. Papers not presented at the conference will not appear in IEEE Xplore®.

■PDF IEEE Xplore Format Requirements

Before submitting your paper, please ensure that your PDF file meets the IEEE Xplore® formatting requirements:

• The paper size must be A4.
• The document must be created or converted to PDF 1.4 or later.
• All fonts must be embedded.
• No security settings, bookmarks, or active links that change appearance are allowed.
• All colors and figures must appear correctly when printed in black and white.
• The file must open without errors using Adobe Acrobat Reader.
• The file must not contain any multimedia objects (e.g., videos, animations).
• The file size should be reasonable (typically under 5 MB).
• The content must be searchable text, not scanned images.

Paper Submission (For Reference - Submission Period Ended)

■Paper Submission Guidelines

Authors can select ORAL or POSTER presentation at paper submission.
- If you submit a paper for oral presentation, the page length limit is FOUR pages.
- If you submit a paper for poster presentation, the page length limit is ONE page.
Note that your submission for oral presentation might be accepted as a poster presentation. The authors must reduce the number of pages to one for their camera-ready paper when it is accepted as a poster.

Please prepare your manuscript for submission in accordance with the following procedure.
1. If you submit a paper for oral presentation, prepare your manuscript using the IEEE format.
If you submit a paper for poster presentation, prepare your manuscript using the ICETC template, Word format or LaTeX format. If you submit a paper for poster presentation, please delete Summary and Keywords in the manuscript.
2. Convert your manuscript to PDF file.
3. Visit the above EDAS submission system for paper submission.

NOTE: Content identical or extremely similar to material that has already appeared or is in submission elsewhere must not be submitted, either by the same authors or by a team including any one of them. All copyrights of the manuscript, including rights for publishing in any media, are transferred to the Institute of Electronics, Information and Communication Engineers (IEICE). Accepted oral papers are also planned to be submitted for inclusion into IEEE Xplore. Accepted poster papers will be included in the IEICE Proceeding Series as open access papers under a CC-BY-NC-ND license.
