Project Management: A Director’s Arc Recently, I had an interesting conversation with a developer I met. When I mentioned that I work in project management, he jokingly said, "Oh! You people who love to sit up there and bark orders at everyone." I couldn’t help but smile. So, when he revealed he's a developer, I humorously shot back, "You people who love to overpromise and underdeliver." We laughed and shared our experiences, but it got me thinking about how project managers are perceived. Many stakeholders see us as taskmasters, but that's far from the truth. Project managers are like traffic controllers, ensuring the smooth flow towards our agreed destination. Our role is to coordinate, guide, and ensure the success of the project, as envisioned by all parties involved. That’s why I see it as a director’s arc. We focus on the big picture, driving towards outcomes that align with everyone’s expectations. And of course, there's no success without the input and contribution of all stakeholders. 💡Food for Thought on Project Management: Success, Failure, and the Role of Communication💡 Everyone agrees that communication is vital in project management, with many experts claiming it accounts for 95% of interactions among stakeholders. However, in my experience, communication itself can sometimes be the factor that derails a project from meeting its time and quality goals. In fact, global insights reveal that poor communication is a leading cause of project failure. Studies by the Project Management Institute (PMI) have shown that nearly 30% of projects do not meet their goals due to ineffective communication, and approximately 40% of projects fail to stay on budget or schedule due to inadequate clarity among team members and stakeholders. In my career, I've managed highly complex, multi-million dollar projects with teams of over a hundred members. Yet, despite the resources and planning, some projects stalled for years without clear direction or solutions. I’ve stepped in midway through such projects, addressing key issues to drive progress, and I've seen recurring patterns that hinder success: Unclear Roles and Undefined Scope – Often, team members say they understand, but without a clearly defined scope and goals for each task, communication becomes chaotic. Without a shared vision, conversations devolve into blame-shifting rather than productive collaboration. Transparency on Paper, Not in Practice – A project plan might look solid, but execution frequently diverges from the master plan. Too often, adjustments are made without accountability, with "realities on the ground" used as excuses for unaligned actions. Unclear Support from Leadership – Teams often push themselves to meet deadlines, yet leaders may not know how to provide effective support. Miscommunication or improper channels leave them unaware of critical issues, preventing timely intervention. Mismatched Communication Channels – Selecting the right communication method is essential but frequently overlooked. Misusing channels or not directing information to the right people leads to misinterpretation, confusion, and ultimately, project setbacks. While communication is essential, it’s just as important to know how to communicate effectively. The key isn’t just in more communication but in strategic communication: delivering the right message through the right channel to the right person. Without this, even the best-intentioned communication can become a liability rather than an asset. Given that PMI also notes organizations with effective communication strategies are 20% more likely to achieve high performance, it’s clear that refining how we communicate can be a game-changer in achieving project success. Many times, I've felt like running away from #Toronto, seeking solace in some remote place. The long winters, loneliness, and friends engrossed in their own lives have often left me facing hardships alone. But the truth is, running away from Toronto isn't the solution. It's my mind urging me to escape this crazy material world. Can I outrun my mind, through which I perceive everything? Without the mind, there is no external world. Gurudev #Srisriravishankar of #TheArtOfLiving foundation said, "A strong mind can carry a weak body, but a weak mind cannot carry a strong body." Even if I hide in a forest, my mind will be there. Ancient yogis have long searched for ways to overcome the mind's sufferings and transcend its limitations. Buddha discovered a path and shared it in #India, which then spread to China, Mongolia, Korea, Thailand, Cambodia, Vietnam, Japan, Afghanistan, and beyond. Later, Adi Shankaracharya and other yogis taught and guided sincere seekers in transcending the mind. #Meditation, along with #Buddhist and #Vedic wisdom from ancient yogis, has provided solace and enlightenment to many, continuing to inspire spiritual seekers worldwide. In this era of Artificial Intelligence, as we chase after money, time, and power, while grappling with stress, worries and sadness, the ancient knowledge and practices of great yogis can offer us inner peace and self-realization. We in the agile space, often called an industry, are faced with an unprecedented challenge in the very ways we believe an organization should work. Why are we facing this challenge? Simply put there were too many organizations seeking to be agile chasing way too few people who could help them. Certifications become the way to determine if someone had the requisite skills to help them. The problem is that Agile certifications don’t convey skill, they convey an extremely small set of knowledge gleaned from 2–5-day classes. These certified people often had no practical experience working in an agile way. They never worked on an agile team as a team member and never had to figure out how to apply agile principles and the frameworks to how their organizations worked. So, it should not be surprising to anyone that business people caught on to the fact that their coaches were not competent in how to apply change management to agile ways of working and more importantly they didn’t have the experience to work at the C-Level. How could you if you have no experience but are armed with a SAFe SPC? You have no way to connect with people who have had success over the years, yet you come bearing the message that you have to change and you are the problem….yea that went over well. The reality is that business now more than ever, faced with the ever-increasing speed of technology, and change (aka AI) needs to be even more agile, but the Agile that was sold over the past 20 years is no longer the right fit for the problem to be solved. It was 20 years ago, but not today. To become Agile in this new space two things, need to be in place: 1.     High levels of iterative innovation where things like Scrum don’t fit. 2.     A near single-minded focus on value and ROI. Mistakes in the future will have the ability to take down an organization in ways yet to be imagined. Yes, we will still have large multi-year projects, but as those projects unfold, they need to be managed through value and innovation so we develop the best solutions that will have high quality and deliver long-term value. Operational agility, changing the way the entire organization operates, with a specific focus on moving decision-making by value down to the lowest levels of the organization is where we need to go. #operationalagility #valuemanagement
