This is a Microsoft product improvement question:

Step 1: Describe product:

One note comes free with the Windows Operating system and allows the user to make note either captured during a meeting or follow up activities as part of day to day activities etc.

Step 2: Clarify qn:

a) As part of improvement, did you intend to update the application for a specific task? e.g. short hand notetaking

b) Did you have any specific user group in mind?

c) Are there any timelines or budget allocated for this improvement initiative?

Step 3: Goal:

Make the process intuitive, simple to use and reduce effort associated with taking notes

Step 4: User groups:

(a) Exec assistants- taking notes for their bosses

(b) Meeting note taker

(c) User scribbling points while reading content

(d) User writing items to be followed up later or subsequent day

(e) User using app as a brainstorming tool

I will focus on (b) Meeting note taker

Step 5: Pain Points:

1) I find it difficult to listen to people and type at that same time

2) Typing whole words is cumbersome and I tend to miss points being said while typing points

3) While making notes, I need help with summarizing the idea

4) I need to also make a note of who said what

5) There are so many meetings that occur in a day, I want notes to be to automatically captures the time of the meeting, the title and attendees

6) I can also use English to take notes, I need multilingual support

7) I want my notes to be accessed by other over cloud by direct integration with sharepoint

8) I want my notes to be automatically be copied into an email and sent to all attendees

Step 6: Solutions:

1) I want interfaces with Microsoft teams or webex so that Notes can listen to the conversation and directly convert voice to text thereby eliminating the need for typing words

2) Need a sentence prompter like the ones available in Gmail that can prompt sentences and thereby reduce typing effort

3) Integrate notes with MS outlook so that i can have an option to open notes from outlook and it auto copies meeting date/time and attendee information

4) Integrate notes with sharepoint so that all attendees can get access to notes and they can add points as well

5) Allow notes to integrate with outlook calender to automatically send an email to all attendees

6) Need an AI based solution to create a summary of the text to create a meeting summary

Step 7: Prioritization of solution:

a) Priority 1- High Impact and Low implementation cost

2) Need a sentence prompter like the ones available in Gmail that can prompt sentences and thereby reduce typing effort

3) Integrate notes with MS outlook so that i can have an option to open notes from outlook and it auto copies meeting date/time and attendee information

4) Integrate notes with sharepoint so that all attendees can get access to notes and they can add points as well

Low implementation cost since teams, sharepoint are all Microsoft tools

b) Priority 2- Medium Impact and Medium-High implementation cost

1) I want interfaces with Microsoft teams or webex so that Notes can listen to the conversation and directly convert voice to text thereby eliminating the need for typing words

6) Need an AI based solution to create a summary of the text to create a meeting summary

This would need lot of development associated with AI algorithms

Step 8: Metrics

1) Notes activation from outlook as a % of overall notes activation

2) # of emails sent through integration with notes

3) Increase of usage of notes application (DAU for notes)
