Club Planning Tips: How to maximize your club's potential

A Letter to the President of UoA Motorsport Club

To put it bluntly, this is too much bullshit. For the past month or so I’ve been absolutely raging at your inability to communicate basic information that execs and even the members should know.

Its been clear since doing the image for the Special stage that this club was not being run properly.

In theory, an organized club should have the next event planned and booked by the time the event before it happens. You’d open up the next events registration to those attending the current event (and everyone else the next day).

However, your planning results in information being needlessly held from the executive (The team that you should be working with to actually do things properly and efficiently), so that by the time you either told us what was happening or when you allowed me to announce the events, most people who could have come would already have plans. You even prohibited me from posting a story for member engagement over a race that had no effect on the club’s executive. That actively went against some of the objects (section 2). And this talk of people trying to sabotage the club too is amazing. Like who in their right minds would go out of their way to sabotage a Uni club?

Your obsession with the STGP format for exec roles was wrongfully placed. It was never going to be approved unless you lied about actually doing it democratically, which was also impossible because you had published it in your  Even if it were allowed by Student Groups, It would have never worked. That thing would have just turned into cliques with blockers crashing into those that actually racing to the win. I doubt anyone would have actually entered unless they were allowed to take others out.  

You also are looking way too far ahead. As far as I’m concerned, we only get max 5 people coming to club events without any collaborations. The main priority for the club is to become a stable social club before we go partnering up with FSAE for a race team that right now will run us into the ground. All this talk about buying cars should be a Sem 2 project at the earliest. You’ve said yourself that we are a developing club and that you need to be completely sure of things before going forward, yet you keep putting this above actually having an exec team to carry it out.

And today, it was the most infuriating, but the most predictable scenario.

You wrote your own message AFTER we agreed on what we needed to say, and from the Last viewed tab I can see that you haven’t even viewed the document I spent the time to get everyone on the same page, because you seem to like keeping everyone in the dark. You didn’t even link the message to the execs that has all the information for those who are interested in Execs next year. I’m sure Thaïs (and probably the others that have left) wanted to be a part of a functioning club, but she’s told me you trusted her to run socials and then scolded her because she posted something which you trusted her to do in the first place. Your message makes it look like you’re just continuing as the dictator president and I’m sure that she doesn’t want to be a part of that. That’s probably one of the reasons why the others are leaving, too. You have insinuated that the status quo will remain, which I know people don’t like.

Guiding Value 3 states “Organizational and personal integrity and fairness.” Saying that not telling people about co-president voting is against the 4th section is more than wrong. It is not “incidental” happening as a minor accompaniment to something else or “necessary” because withholding election information and nominations is putting the organizational integrity and fairness in jeopardy. You are literally making a “barrier to entry” for potential candidates for both the president and the execs that can do a good job. The exec team is just going to end up being you doing this alone again with these ghost execs you are using to make things look like the club actually works. I don’t even know what the fuck you’re talking about with Legal fees and the Aotearoa Law. We’re a club, not a business. We shouldn’t ever be big enough to have to get a Lawyer. Speaking of the the consitution, a constitution shouldn’t be something that one person works on. If we use your example of the US constitution, many people were involved in writing the constitution.

Even though Rainbow business was in a developing club situation last year, this has nothing to do with Rainbow Business, so don’t try rope them into this. This was to do with being transparent at letting people know what the fuck was going on so that they’d actually show interest in staying in the club, let alone the exec team. We could use any social and speciality clubs documents to learn how to function properly. I don’t even know if you’ve ever had an exec meeting or if it’s always been you randomly telling people shit at the last possible moment.


With managing things, you are the equivalent of someone getting lapped multiple times in a 10 lap oval heat race. You use more idioms than you can shake a stick at, you keep everyone in the dark, and you have overcomplicated this to oblivion. You are saying that you want "no long-term irrecoverable harm, no foul," but you aren’t doing anything to move this club forward. It’s been weeks of putting off the AGM, which I could have planned and promoted easily, and you aren’t even doing courses. Looking back, I probably should have gone with my gut when I first walked into the shit show in planning that was the esports event, and not returned.

So, Be advised: Unless you are not running for one of the TWO co-presidents, the Secretary, or the Treasurer of The UoA Motorsport Club. I won't be running for Co-president, and I will leave just like how the others have. You can either:

Not contact me at all, Remove me from the Group Chat, disregard everything I’ve said, and continue going down your path to a failed club.

Or

Not run for any positions listed above, stop pussyfooting and et me actually keep people informed on what the fuck is going on with the club, and facilitate the handover to whoever the democratically voted Co-Presidents will be.
