Description:

 

Reporting to the Director, Strategic Communications & Change, the Information & Change Consultant is responsible for planning and leading strategic, University-wide change, engagement, and communications programs & initiatives that directly impact the employee experience at the University of Toronto. 
 
The Consultant works closely with HR leadership and cross-functional project teams to develop, plan, and execute change management activities – including communications, business analysis, consultations, and analytical / design guidance -  that help employees at all levels be properly equipped to initiate and sustain the changes that stem from transformational projects that will impact their dayto-day work. The incumbent functions as an internal resource to HR project teams by creating roadmaps of change management activities for various projects including measuring stakeholder engagement, assessments of impact and readiness, and development of communication and training plans. 
 
The Consultant works closely with the Communications & Engagement Manager to ensure the development, design, and coordination of communication materials needed to support change programs for the Division of Human Resources & Equity. 
 
The incumbent is responsible for the management of the Division of HR & Equity’s SharePoint system, provides advice with respect to document management solutions and acts as the site administrator for the division’s SharePoint site(s). The incumbent leads the information and records management strategy for Human Resources & Equity, including conceptualizing and implementing systems changes to integrate with University business processes. 

 

The Information & Change Consultant provides change management expertise related to HR projects, and develops a range of change management products that require knowledge of confidential information impacting staff in all employee groups.  The role of the Information & Change Consultant  will continue to evolve and the individual must be willing to respond to changing priorities while working cooperatively in a challenging and dynamic environment.

 

Qualifications Required:

 

I. EDUCATION: 
 
University degree with some postsecondary education in communications, organizational design, information management, and / or human resources management, or related degree or diploma, or acceptable equivalent combination of education and experience. Professional Change Management Certification is required (i.e. CCMP, Prosci, etc.) 
 
II. EXPERIENCE: 
 
Minimum five (5) years’ relevant experience working with change and information management. Demonstrated experience advising senior leaders on communication strategies and synthesizing change management plans into a plans and organizational frameworks.  Experience applying, modifying and developing change management approaches for enterprise-level projects. Experience leading projects, including project planning, establishment of key deliverables, identification of resource requirements, implementation and evaluation.  Experience with HR policies, procedures and processes and with a variety of communications software and online applications. 
 
III. SKILLS: 
 
Excellent information and document management skills; proficient with SharePoint technologies;  Knowledge of one or more EDM toolsets, such as SharePoint, Alfresco, FileNet, Documentum (SharePoint preferred).   
Computer skills, including intermediate to advanced skills in spreadsheet, database and word processing software.  Advanced research skills.  Excellent analytical and problem solving skills. Expertise in use of content management systems and design software such as Adobe Photoshop.  Adobe Acrobat Pro experience an asset.  
 
IV. OTHER: 
 
Strong demonstrated understanding of document and records management concepts, such as metadata, taxonomies, retention policies. Excellent oral and written communication skills including the ability to communicate ideas to diverse audiences of varied technical understanding. Expert knowledge of change management principles, methodologies and change processes. Demonstrated ability to think and plan strategically as well as manage conflicting demands, urgent tasks, and changing priorities. Demonstrated ability to analyze various forms of data, synthesize information to anticipate future trends/consequences, and create innovative and flexible plans. Excellent presentation, interpersonal, organizational and problem solving skills.  Strong initiative, attention to detail and ability to produce accurate work is critical. Ability to handle confidential information, demonstrating tact, diplomacy and judgement.  Ability to establish and maintain positive and cooperative working relationships, especially during difficult situations such as a strike.  Strong customer service orientation. Proven ability to work effectively with competing deadlines while managing multiple duties and priorities.  Ability to manage a fluctuating workload, under pressure, and to meet deadlines.  Demonstrated initiative and ability to work both independently and within a team environment.
