Organize your tasks into projects and break down large tasks into subtasks until you get reasonably sized actions.

Generating ordered To-Do list

Once loaded with your information, MyLifeOrganized goes to work and prepares a simple list containing only the next actions which require your immediate attention. This is a simple non-hierarchical list of actions selected from the entire Outline. This list is updated automatically once you complete a task, change context or move to other location.

Different predefined views

With predefined views you can filter, sort and group tasks in a hierarchy or in a plain list. When you create new data file, MyLifeOrganized creates various default views for you.

Add new tasks quickly to "Inbox"

Use Inbox for quick task entry while on the go and process entered tasks later when you have more time.

Schedule tasks for a specific date and time

You can set the start and due date for the tasks so that they do not bother you until the start date and remind you about the strict deadlines.

Reminders

Set time based reminders for the tasks to get alerts about the most important actions.

Task Importance and Urgency

For each task you can specify its Importance in relation to accomplishing its parent project. You can also add the Urgency to help MyLifeOrganized sort your To-Do list in the correct order.

Goal planning

MyLifeOrganized helps you organize your goals. You can indicate that a task is a weekly goal, monthly goal or yearly goal. The special Goals view is designed to easily review all your goals.

Contexts

Contexts are the categories to organize your tasks or they are the places where you can complete your tasks. You can assign several contexts for the same task to include it to the different lists.

Star to highlight a task

You can mark a task with a star to highlight it and include to the special list of Starred tasks.

Flags

You can mark a task with a flag. This is used to visually highlight tasks with icons and separate them from other tasks while grouping in the To-Do list.

Filter by context

You can filter the task list by Context. In this case, only tasks assigned to this Context (or any of its included Contexts) will be added to the list.

Search-as-you-type

It is easy to find a specific task in MyLifeOrganized. The search feature is very fast and provides search-as-you-type: it immediately displays search results as you type the text you want to find.

Zoom to a branch of tasks

You can use Zoom if you have a complex tree of tasks with many branches and want to concentrate on one project and temporally hide all the others.

Smart To-Do Sorting based on Computed-Score priority

You will find that MyLifeOrganized will do an excellent job in presenting to-do lists that are sensibly prioritized according to the importance, urgency and deadline.

Cloud Sync with Mobile/Desktop edition

MyLifeOrganized Cloud Sync service allows you to synchronize your tasks between different devices in which you are using MyLifeOrganized task manager (a low-cost, fee-based subscription required).

Task by e-mail using Cloud Sync

MyLifeOrganized Cloud Sync service allows you to send e-mails which will be delivered as tasks to your Inbox.

Collaboration using Cloud Sync

With MyLifeOrganized Cloud you can share your task list with other people located anywhere or even work together on the same project.

WiFi Sync Mobile to Desktop

WiFi Synchronization allows you to synchronize MyLifeOrganized-Desktop with MyLifeOrganized on mobile devices connected to the same WiFi network. The data transfer performed to your device directly. This feature is included to Pro versions and does not required additional subscription.

Password protection

You can protect your tasks in MyLifeOrganized application so that nobody opens it without your password.

Recurring & regenerating tasks

Only basic recurring templates supported on mobile. You can setup complex templates on desktop and sync to mobile.

You can set a task to occur repeatedly. For example a task that occurs on a regular basis, such as a weekly status report or periodical car maintenance, can be set up as a recurring task.

Projects tracking

You can indicate that a certain task is a Project. All projects with their statuses are included to a special Projects view where you can review them. The completion percentage is automatically calculated for each project.

Complete the tasks in a specific order

You can instruct MLO to place the next subtask of a project in the To-Do list only after the previous subtask is completed. This way you can create projects where certain tasks are dependent on the completion of other tasks.

Dependencies

You can set dependencies on desktop and use them on mobile after sync.

There can be tasks in the outline which cannot be started until some tasks from other branches are completed. To prevent a task from being shown in the To-Do list in Active Actions view until other tasks are completed, add these tasks to the Dependencies section for the task you want to block.

Workspaces (tabs)

The Workspaces (or tabs) are used to store and quickly access a particular configuration for the selected view, additional filter, zoom, selected task etc.

Custom views with filtering, grouping and sorting

With predefined views you can filter, sort and group tasks the way you need it. You can use default predefined views or create your own views using built-in MLO advanced features for filtering, sorting and grouping your tasks.

Review

You can indicate that a certain task should be periodically reviewed. For example you can review a project weekly to add new tasks to it or to change priorities of the subtasks. When it is time for the next review this project is placed to the Review default view. You can open this view periodically to review the tasks.

Bookmarks

To speed up the navigation in the outline, you can set a bookmark to a task and then jump back to it anytime.

Open/Closed hours for contexts

You can set open/closed hours on desktop and use them on mobile after sync.

A Context may have a schedule: specific times during which it is open or closed. If a Context you select as a To-Do filter is closed at the moment, the tasks associated with this Context will not be shown in the To-Do list.

Contexts may include other contexts

Each Context may include other Contexts. This can form a hierarchy (or even a net) of contexts. For example Contexts "Phone" and "Internet" can be included to the Context "Work" as well as to the Context "Home".

Nearby view on mobile devices

In the Nearby view you can see the list of tasks which can be done near your current location.

Location based alerts on mobile devices

You can receive alerts from MLO mobile application when you are near the place where there are active tasks for you.

View-sensitive navigation button on mobile

This view-sensitive navigation button will help you to navigate in the long outlines on your mobile device by finding selected task and collapsing parent tasks.

Undo/Redo

Use undo to revert previous changes you made in your task list.

Multiselect

Use multiselect to perform an action on several selected tasks at the same time.

Task counters for views (badges)

You can use counters to see how many different kinds of tasks you have in each view.

Unlimited number of files/profiles

You can create different data files/profiles for your tasks. You can create unlimited number of data files and profiles on desktop and mobile devices in Pro mode. Free mode will only allow 3 profiles on mobile devices.

Customize application appearance

You can customize the application appearance like font size and information layout.

Send task by e-mail

You can send a task from MLO application to another person by e-mail.

You can select which columns to display in the current view.

Customize hot-keys

MLO has keyboard shortcuts (hot-keys) for the most common functions and commands. You can customize the keyboard shortcuts by changing the default keyboard shortcuts to the keys or combinations of keys that you want to use.

Command line

You can perform certain operations on your MLO data files or tasks by using the command line.

Input parsing

MLO can parse or interpret the text you enter in some text input fields. For example you can enter "in 30 min" or "next Friday at 2pm" in date and time pickers. In Rapid Task Entry dialog you can even type: "Call Bob about the party tomorrow at 3pm remind 10 min in advance". The parameters of the task will be converted from the text automatically.

Import/Export

Import and Export commands are used to exchange data between MyLifeOrganized and other applications. The following formats are currently supported: XML, Excel, Tab Delimited, MindManager

Links between tasks

You may need to associate a task with other related tasks in the Outline. You can do this by inserting links into the task notes. When you click a task link, the linked task is selected in the Outline.

Purge/Archive completed tasks

Archiving is a way to backup or delete old completed tasks from MyLifeOrganized. Depending on the configuration, completed tasks that are over a certain age can be moved to an archive data file, copied to an archive data file or deleted permanently.

Set colors and formatting to your tasks

You can assign custom formatting to the tasks in the Outline. Parameters such as font color or bold can be set.

Conditional automatic formatting

Automatic Formatting uses rules to format tasks individually, based on their properties. For example, you may want to underline and set an icon for all the tasks that were created this week and contain the word "report" in the subject.

Sync with Outlook

You can configure the synchronization with MS Outlook, if you want to use Outlook together with MyLifeOrganized in your planning.

Drag’n’Drop items from Outlook

You can drag&drop e-mails from Outlook to MyLifeOrganized outline to convert them to tasks.

Sync with FTP or LAN

You can synchronize MLO to other data file via FTP or LAN. Note: this feature is deprecated. It is recommended to use Cloud Sync instead.

You can configure a shortcut for rapid task entry to MLO with text or by voice.

Voice input

You can use voice input to enter new tasks to MLO

Share MLO tasks with other applications (like Calendar or E-mail)

Sharing will allow you to send MLO tasks to other applications like E-mail or Calendar as well as send data from these applications to MLO.

Customize individual task reminders

In the Pro version you can customize reminder settings for individual tasks. In the Free version default reminder configuration is used for all tasks with reminders.

Repeat alerts for reminder

You can configure how many times the reminder should repeat.
