CAMP – IN PACKET
Included in this packet you will find all general information about the camp-in program, policies and
required forms. Please fill out the appropriate forms and contact the Camp-In Program Manager if you
need additional information at (205) 714 – 8383.
General Information:
What to Bring
-
Pillow, sleeping bag, air mattresses, and/or cots (floors are hard!) and overnight bag labeled with
camper’s name and group affiliation.

Toothbrush and toothpaste, plus any other typical toiletries used by the camper.

Change of clothes.

Excitement and eagerness to learn!
What NOT to Bring

Radios, Walkmans, televisions or electrical devices.

Nonessential items, such as jewelry or stuffed animals, are discouraged. McWane Science

McWane Science Center is not responsible for lost or stolen items.

Alcohol and tobacco products are NOT allowed.
Meals
Meals are provided by McWane Science Center’s Movies Café. Vending machines are available
for purchasing light snacks. Please bring your own change and dollar bills for access to these
machines. Please inform us of any campers with special dietary restrictions. Whenever possible,
we will try to provide an alternative selection. ALL food and drinks should be enjoyed in
designated eating areas only.
RULES FOR CAMPERS
In order to have a safe and fun Camp-In, please go over the following rules with your campers:
1. McWane Science Center Camp-Ins are meant to be fun and not abused. Vandalism or
destruction of exhibits will not be tolerated.
2. No running or unnecessary screaming is allowed in the museum. Children who do not behave
accordingly may be asked to go home.
3. Always stay with your group and leaders throughout the entire evening. Obtain a schedule and
plan your evening to enhance your experience.
4. No food or drinks are allowed on any of the museum floors. ALL food and drinks must be enjoyed
in vending areas ONLY.
5. You are responsible for cleaning up after yourself and for keeping all areas of the museum clean.
6. Campers and leaders should set up camp and sleep in the same areas. DO NOT sleep in front of
EMERGENCY EXITS!
7. After lights out, please be careful and avoid leaving sleeping areas as much as possible.
8. DO NOT leave the building, except for emergency purposes. Exit doors will lock you out!
9. Keep all of your belongings together. McWane Science Center is not responsible for any lost or
stolen articles.

ARRIVAL & DEPARTURE
Check-In & Check-Out
If there are circumstances that require one of your group members to check-in late, you must make
arrangements with the Camp-In Coordinator at check-in. Arrangements can also be made for guests who
need to leave earlier than the designated time. Please see the Early Departure form for McWane Science
Center’s early departure policies.

Security & Safety
Camp-In staff or a security guard should be contacted for assistance and first-aid. There are two security
guards throughout the Camp-In.
A Guardian Release Form must be completed for EVERY child, 18 years and younger, and must be
returned to the organization leader. If a camper has not completed and turned in a release form, they will
be unable to participate in the event.
Every camper must turn in a completed Early Departure Form at check-in. McWane Science Center
cannot release a camper without this form.

GUARDIAN RELEASE FORM
This medical release form must be filled out by the parent/guardian of each camper, age 18 & younger, in
order for everyone to participate, even if the camper is accompanied by a guardian. If McWane Science
Center does not have a form for a camper, the parent/guardian will be called to McWane Science Center
to complete the form before the camper may participate. Please return this form to your organization
leader.

wrongful death, loss of service, or otherwise which may arise from participating in Camp-Ins that occur
with McWane Science Center/Discovery 2000, Inc. I also give permission for photographs and/or video to
be taken of him/her while participating in this event, and for these photographs and/or videos to be used
by McWane Science Center/Discovery 2000, Inc. for publicity purposes.

EARLY DEPARTURE FORM
During a McWane Science Center Camp-In, it may be necessary for and individual(s) to leave early.
Early is considered anytime, during the Camp-In, BEFORE 7 a.m. of the second day.
Planned Departure
If you are planning to leave the building early, you must:
1. Inform your group leader of this plan. He/She must know what time you plan to leave.
2. Inform the Camp-In Coordinator of these plans at check-in. He/She must also know the time of your
departure for security purposes. Once you have departed from McWane Science Center, re-entry is not
allowed. If you plan to leave the Camp-In, and not spend the night, you must still pay full price for the
event ($30/camper; $15/chaperone/sibling).
Unexpected/Emergency Departure
McWane Science Center understands emergencies can arise that may result in the early departure of a
camper(s). If this occurs, ONLY the guardian, who signed the release form, or one of the two emergency
contacts listed below, may pick-up the child. If an emergency contact picks up a child, the guardian who
signed the release form will still be contacted to confirm the departure. If the guardian cannot be reached,
the child will not be released. If an emergency occurs, you must:
1. Call (205) 714-8413 and inform the security guards on duty that you will be picking up the child. Give
them your name, the child’s name, and your estimated time of arrival.
2. When you arrive, park in the pull over zone on 2nd Ave North. A security guard, building manager,
and/or the Camp-In Coordinator will be waiting on you.
3. Must show a picture I.D.
4. Must sign the child out with the Security Guards.
If an emergency occurs resulting in the early departure of a camper, and the camper is with a guardian on
the premises at the Camp-In, they are free to leave once they have informed their group leader and have
checked-out with the Security Guards in the Grand Lobby.
5. Detach & turn in with Guardian Release form at check-in table.
